Certifying a Report When the PI has Left UCI

If a Principal Investigator (PI) is leaving UCI, please make every effort to have all PCS reports certified before PI’s departure. If the PI leaves outstanding PCS reports, the Department Chair will be required to review and certify them. The Chair's certification is the last resort after all attempts to acquire the PI’s certification have failed. If you find yourself in this situation, please follow the steps below.

1. Update Principal Investigator Availability

Before the Department Chair can certify the PCS Report, you must update the KFS-PCS Principal Investigator Availability Field in the report.

• Go to the C&G Certification Tracking Lookup page, search for the fund number, and select Edit under Actions column in the Search Results for the Budget End Month requiring certification.
• In the Description field in the Description Overview Tab, indicate Fund# and that the PI has left UCI.

Example: "<Fund #> PI left UCI"

• Scroll Down to the Certification Status tab, and under PROPOSED section use a dropdown menu to change the PI Availability field to “P- PI left university”.
• In the Note field, add a brief note stating that the Department Chair will certify the PCS Report.

After you submit the document, it will auto-approve and update the PI Availability.

2. Confirm the PI’s Absence with the Department Chair

This will allow the Department Chair to expect to certify the PCS report.

3. Contact C&G Accountant and CPCA in C&G Compliance Office

After confirming with the Department Chair, send a request to the C&G Accountant responsible for the award to change the PI name in KFS to the Department Chair. Copy Central Payroll Certification Administration (CPCA) to alert the C&G Compliance Office of this change and ensure a smooth transition.

4. Review and Submit the PCS Report

After the name update is made, run the KFS-PCS report, and review and submit it as you normally would. Once it is approved by the Chair, the PCS Report is completed.
