Implementation of Leave Reporting for GSRs, TAs & AIs

Effective for the pay period beginning on Oct. 1, 2023, individuals who hold appointments in the Graduate Student Researcher (GSR), Teaching Assistant (TA) or Associate Instructor (AI) positions will be required to report absences/leaves taken in TRS.

The UCI Office of Academic Personnel has sent notifications to academic unit leadership as well as impacted academic employees notifying them of this development and providing them with additional information related to their reporting requirements.

System Updates

The Office of Information Technology (OIT) has deployed TRS updates as of Wednesday, 09/27/2023, to load 3,321 active GSR, TA, and AI jobs into TRS. DTAs should be receiving TRS email notifications advising of the new employee jobs loaded for their respective departments and requesting action to update supervisor and backup designations for each employee job loaded.

Mass Upload Supervisors

TRS has recently released functionality that allows DTAs to mass upload supervisor designations using Excel/CSV file submissions. To leverage this functionality, you can download Excel and/or CSV templates from TRS under the "Manage Employee" tab:

Once downloaded and completed, the file can be uploaded in this same page to process the mass upload of supervisor designations.

Note: Employees will not be able to access their timesheet record until supervisor designations have been completed.

DTAs requiring TRS support/assistance can contact the Central Payroll team by logging into UCI’s Employee Experience Center and selecting Click for Help to submit a local EEC inquiry:
