Manage Employee Drop-Down Menu Actions

Introduction

This guide will explain how Department Time Administrators can navigate to and use the Manage Employee menu in the Time Reporting System. Using this menu, DTAs can manage assignments and add or delete supervisors. This is also the menu you use to change or input work schedules, and mass replace supervisors.

Navigation

  • Login: Log into the Time Reporting System (TRS) at  http://timesheet.uci.edu and select DTA.

  • On the landing page, you will see the available DTA menu tabs and can view a selected department from a list of authorized departments by selecting the department on the drop down menu.

  • Search for Employee: Select the Manage Employee tab and then select Search Employee.

  • Employee Information is Displayed along with Assignment and Work Schedule information.

Manage Assignments

  • Select the Assignment Tab. The most frequently used action in this menu is to add/delete supervisors. The pencil and paper icon adds supervisors, and the X icon deletes supervisors from the assignment.
  • Note: This employee has two assignments, which is possible in TRS.

  • Adding Supervisor: To add a supervisor, select the pencil and paper icon and enter the supervisor UCI user ID or name (first and last name) and select search.

  • Then, select the Action button to add the supervisor.

Changing and Inputting Work Schedules

  • Creating a Work Schedule: To change or input a work schedule, select Work Schedule from the main menu and then select Create New Work Schedule.

  • Pick Schedule Type: To create a new Work Schedule, select the Assignment drop down menu and select the correct assignment for the schedule. Then, select the Schedule Type drop down menu to select the type of schedule (options shown below).

  • Input Begin Date: Next, enter the schedule begin date which will need to be on a Sunday (there are no other options for start dates). If the schedule has an end date, enter it in the Schedule End Date box (please note that it will need to be on a Saturday).
  • Add Entry: Click on Add Entry to start building the work schedule one day at a time.

  • Select the correct shift option – regular, day, evening, or night to start building the schedule.

  • After you select the shift, the lines build automatically with each selection.
  • Note: that you will need to enter two full weeks to complete the process.

  • Create: After the full two-week schedule is built, select the Create button to establish the work schedule in TRS

Mass Replacing a Supervisor

  • Search for Supervisor to be Replaced: To mass replace a supervisor, go to the Manage Employee tab, and select Mass Replace Supervisor from the drop-down menu and select Search Supervisor.

  • Enter either the supervisor’s name (first name last name) or UCI-issued user ID and select Search. After the name appears below, select the icon under the Action column.

  • Select the Type of Supervisor Role – All, Primary, Backup or Optional Backup, then you can select Active Assignments Only before selecting Search Assignments to populate all the Assignments for possible supervisor replacement in TRS.

  • Select New Supervisor: Repeat the select supervisor process in the same ways as you did above – except this time you will be selecting the replacement supervisor who will now be active in TRS.
  • Select the Assignments to Replace Supervisor by using the Select All function at the top of the page or you can Select Assignments individually by each line item. After making your selections, select Replace Supervisor for the Selected Assignments.
