TRS Updated with Code for Continuation Pay

The Time Reporting System (TRS) was recently updated with a new earn code for University of California Continuation of Pay Through June 30, 2020. Employees can now select the "Cont Pay" code from the "Add" drop-down menu in TRS. Usage of leave must comply with UCI Human Resources guidance. COVID-19 Related Earn Codes

The matrix below shows all of the recently added earn codes related to leave during the current public health emergency.





University of California COVID-19 Administrative Paid Leave (Up to 128 Hours)

RGC / RVN (Paid Leave)

Please note that an employee must be on FMLA status to report Exp FML on their timesheet. See the information below for details about FMLA status and TRS.  

FMLA Status Required for Expanded Family Medical Leave

An employee must be on approved FMLA status to use Exp FML EFL / EFM (Expanded Family Medical Leave) in the Time Reporting System (see section highlighted in blue above). If the employee is not on an approved HR leave status in UCPath, then the hours entered into TRS will generate an error. To correct a time sheet where hours from a past pay period were not properly recorded the first time, follow these steps:  

  • Step 1 - ensure an HR transaction is entered and approved in UCPath to put the employee on an appropriate HR leave (e.g. FMLA, etc.)
  • Step 2 - Revert the past time sheet and do a DTA adjustment. To learn how to use the DTA adjustment feature, reference the DTA Adjustment Quick Guide.

You can also use DTA Adjust to attach fmla_flag “Y” to both of the following earn codes (see section highlighted in green above):

  • EPS / ESN (Emergency Paid Sick Leave – EE)
  • ESF / EFN (Emergency Paid Sick Leave – Family)

Automatically, these earn codes are not FMLA flagged, but if the employee wants their hours to be decremented from their FMLA bucket, then the flag can be changed. The employee must be on an approved HR Status in UCPath for FMLA for these hours to be applied.
