Delivery and Handling of 2017 W-2 Forms

Sent to all Campus Supervisors on Jan. 22, 2018.

UCI will soon provide employees with their Form W-2: Wage and Tax Statements, and we need each department to help make sure the forms are delivered correctly. While most employees receive their W-2 Form online through the At Your Service Online website, some employees still receive their tax documents on paper. These W-2 Forms will be delivered to departments via Campus Mail on Thursday, Jan. 25, or Friday, Jan. 26.

As these dates approach, we ask that each department do the following:

  • If you receive a W-2 for an employee who has left UCI or is on a long term leave of absence, it should be placed in the U.S. mail no later than Monday, Jan. 29. The employee's permanent address and postage are already printed on the form.
  • Carefully handle your campus mail on the 25th and 26th to ensure that W-2 Forms are delivered to employees in a timely fashion.
  • W-2 Forms for inactive employees have already been sent via U.S. Mail to the permanent address indicated in the Payroll System and no action is required.
  • If an employee is expecting a paper W-2 and did not receive it, please email to verify the distribution of the form. Note that if the employee signed up for online delivery, they will not receive a paper form.
