New Payroll Certification System Coming in November

Sent to the KFS-Update mailing list on Sept. 20, 2016

A new Payroll Certification System (PCS) is coming to UCI! The new system will be called KFS-PCS and will replace the current certification process starting in November. KFS-PCS is currently in the final pilot group phase of testing.

A Paperless System

Unlike our current paper-dependent process, KFS-PCS is completely integrated with the Kuali Financial System (KFS) and Decision Support. KFS-PCS maintains the same basic structure as the current paper form, but adds benefits like the ability to preview and verify the accuracy of the certification, built-in document routing, and paperless electronic certification.

What is Payroll Certification?

Federal regulations—including the U.S. Office of Management and Budget’s Uniform Guidance—require universities to substantiate payroll expenses when they are paid with extramural funds from federal contracts and grants. UCI meets this requirement using a payroll certification process, which should be familiar to campus organizations that frequently conduct research.

Training Sessions Coming Up in October

Training sessions will be scheduled for October 2016 to prepare users for the new system’s launch. An announcement with the exact dates and times is forthcoming. Enrollment for the sessions will take place via the UC Learning Center.
